Administrative Assistant/CRM Support

Your Role

The Administrative Assistant position will perform general administrative and office support duties, with a significant focus on CRM data entry. They will serve as the overseer of all our company and contact information within the firm’s CRM application. This includes properly inputting data into the system, routine reporting, research, cleansing, deduplication, and enrichment.

Your work will include, but not be limited to:

  • Administrative Support
    • Administration duties; including welcoming guests, answering calls, managing incoming mail, and providing outgoing mail & FedEx support
    • Meeting setup; including reserving meeting spaces, ordering meals, setting up food & beverages, providing guest access, and verifying meeting room technology & software are working
    • Managing stock of office supplies, snacks, and beverages
    • Responsible for coordinating janitorial, storage, heating & cooling, lighting, security badges, and special requests for the office
    • Maintaining office equipment and performing routine maintenance (printer, water machine, coffee machine, etc.)
    • Triaging office-related technical support (internet issues, printer errors, conference room equipment, etc.)
    • Assist/backup other administrative team members when necessary
  • CRM Data Entry Support
    • Administer the CRM data entry process, including entering and validating information from spreadsheets, web forms, ad hoc emailed requests, and data pulled from our marketing intelligence platform
    • Perform data audits in CRM to ensure accuracy of contact and company information, taking additional external research steps to correct as needed
    • Monitor and validate inbound contacts from web forms
    • Generate and leverage reports from marketing campaigns to audit contact information
    • Manage and execute a large-scale data enhancement project
    • Work with Marketing Team to develop, implement and maintain data quality processes, training, and reference materials

Education/Experience

  • HS Diploma or GED equivalent required; Associate in Business Administration, or a related field preferred
  • At least two years of office administrative experience, preferably in a professional services environment
  • At least one year of work experience maintaining contact record information within DealCloud or a comparable CRM environment

The Qualifications

  • Solid technical proficiency in MS Office applications; including Word, PowerPoint, and Outlook – in-depth experience with Excel required
  • Proven experience working with CRM software
  • Familiarity working with SaaS business databases and market intelligence providers
  • Ability to manage multiple tasks within a defined timeline and prioritize responsibilities
  • Strong organizational skills and meticulous attention to detail; including superior data entry and alpha/numeric skills
  • Professional demeanor with strong interpersonal skills to effectively interact with clients, peers, and other contacts
  • Superior oral and written communication skills; with a focus on client service and the ability to exercise an initiative to problem solve
  • Must be able to lift at least 20 lbs.; specific job duties may require lifting, moving, and transporting packages
  • Qualified individuals must reside near the Chicago office
  • Ability to work overtime if required
